Privacy Policy

This policy explains how Arplays, a sole proprietorship of Aryan Singh Parihar, operating as Bookxarena ("we", "us"), collects and uses personal data under the Digital Personal Data Protection Act, 2023. It covers:

• visitors to bookxarena.com;
• arena owners who use Bookxarena ("Arenas");
• people who book slots on arena booking websites powered by Bookxarena ("Players").

1. Our role

For Player data, we and the Arena each decide how the data is used, so each of us is responsible for our own use. The Arena uses it to run its venue and bookings. We use it to run the platform, route payments, send confirmations, support you, prevent fraud, analyse and improve the product, and, only if you opt in, to send you our marketing. For Arena data, we are responsible on our own.

2. What we collect

From Arenas: owner name, business name, phone, email, address, GSTIN (if any), court details, pricing, timings, photos and logos, your grievance contact, and a copy of a government-issued ID proof along with the details needed to set up your payouts. We collect only what we need to onboard you. The identity and payout verification (KYC) is carried out by our payment partner. We also keep a record of your acceptance of our terms (time, IP address and version).

From Players: name, phone number, email, booking details (arena, sport, date, slot, amount), payment status and payment reference, WhatsApp delivery status, your choice on our marketing opt-in with the time you made it, and device, browser and IP data for security.

From visitors to bookxarena.com: page views, device type, approximate location and where you came from, collected in aggregate by an analytics tool that doesn't use cookies (see section 10). If you book a demo call, we collect your name, email, chosen time and anything you write in the booking form. We also keep anything you send us when you write or call.

We do not collect card numbers, UPI PINs or bank passwords. Our payment partner handles card and UPI payments on its own systems.

3. Why we use it

• To provide the service: create and manage bookings, take payment, send confirmations and reminders, support you. You give your consent for this when you tick the box and submit your details.
• To keep things safe: prevent fraud and misuse, resolve disputes.
• To meet the law: tax, accounting and legal requests.
• To improve the product: analysis of how the platform is used.
• For our marketing, only if you opt in. This is a separate, optional, unticked box. It never affects your booking.

4. Who we share it with

We do not sell personal data.

5. Outside India

Our database and hosting are set to India regions. Some providers, such as WhatsApp for messages and our analytics tool, may process data on servers outside India.

6. How long we keep it

• We keep personal data only as long as needed for the purposes in this policy, or as the law requires.
• While an Arena is with us, its booking data is kept so it can run its business. After an Arena leaves, we keep its data for a reasonable period in case it returns.
• Financial and legal records (booking amounts, fees, dates, payment references and signed agreements) are kept for as long as tax and other laws require.
• If you ask us to delete your data, we'll delete or anonymise your personal details, except records the law requires us to keep. Write to our Grievance Officer (section 11). We reply within 15 days and tell you when it's done. The Arena you booked with holds its own copy, and we'll pass your request on to it.
• Marketing: until you opt out.

7. Your rights

You can ask us to:

• give you a summary of the personal data we hold and how we use it;
• correct or update it;
• erase it;
• nominate someone to exercise your rights if you die or can't act.

You can withdraw consent at any time, as easily as you gave it. If you withdraw consent needed for a booking, we may not be able to provide it. To use any right, write to our Grievance Officer. If we don't resolve your concern, you can complain to the Data Protection Board of India.

8. Children

Anyone under 18 may play, but the person who books must be 18 or older. We collect only the booker's details. We do not knowingly collect personal data from under-18s, and we do not track, monitor the behaviour of, or target advertising at children. If an adult gives us a child's details, they confirm they are the child's parent or guardian. If we learn we hold a child's data without a parent's or guardian's consent, we'll delete it.

9. Security

All traffic uses HTTPS. We limit access to personal data to what's needed. Payments are handled by our payment partner. If a breach affects your data, we'll tell you and the authorities as the law requires.

10. Cookies

• Arena owners: when you log in to the Arena admin portal, we use a strictly necessary session cookie to keep you signed in securely. You can't use the portal without it, and it isn't used for tracking.
• Players: Players don't log in, and booking pages don't use analytics, advertising or tracking cookies. The payment window may set its own cookies to process your payment.
• bookxarena.com visitors: we use an analytics tool that doesn't use cookies. It counts visits in aggregate and doesn't follow you across days or other websites. We don't use advertising or tracking cookies, so there is no cookie banner. The demo-booking form is provided by a third party and may set its own cookies when it loads.

We may update this policy. We'll change the date and version above, and tell you of material changes.
